Morning Procedures

student Drop Off—7:45 a.m. to 8:00 a.m.

Students may purchase breakfast in the cafeteria beginning at 7:30 a.m. All other students should arrive at school no earlier than 7:45 a.m. The first bell rings at 8:00 a.m., signifying the time designated for students to begin preparations for classes. The bell to begin classes rings at 8:10 a.m. It is extremely important that students are not left unsupervised before the start of school.

Students are not allowed to wait in the front of the building for safety reasons. At 8:00 a.m., students will be allowed to enter the hallways to go to their classroom. On inclement weather days, children will be directed to the gymnasium where they will be supervised by adults. Any student arriving after 8:10 a.m. must enter through the front office to receive a tardy pass to class. Parents must walk students into the building and sign them in after 8:20 a.m.

Morning Drop Off Routes

Students may be dropped off in the following areas in the morning: Garden Drive, Diamond Valley East and Academy Court. Parents should not park their car in these pick up lines to allow cars to move through each line and pull all the way forward.

Garden Drive Drop-Off:

To ensure the safety of your children, please drop-off students between the main playground gate and the west fence line. After drop-off merge into traffic on Garden Drive and turn left onto Technology Circle. Vehicles will circle around on Technology Circle and turn right onto Garden Drive towards Hwy 257.

Academy Court Drop-Off:

When dropping off on Academy Court, vehicles should travel north on Diamond Valley from Eastman Park Drive or Logistics Drive and turn left onto Academy Court. Pull forward in the drop-off line as far forward to the west front doors as possible. After dropping students off, merge back into traffic on Academy Court and circle around the cul-de-sac and turn right onto Diamond Valley Drive to exit the campus. Please do not get out of your vehicle. Staff members can assist students getting out of the car.

Afternoon - Staggard Pick Up

Our half-day kindergarten students are dismissed Monday - Friday at 11:20 a.m. For this reason, there is no parking on Academy Court Monday - Friday between 11:00 - 11:30 a.m. Only parents picking up their kindergartner from school should be on the curb of Academy Court during this pick-up window. Please remain in your car, pull forward, and a staff member will help your kindergartner into the car.

School is dismissed at 3:15 p.m. Students are assigned to a specific location for pick up based on the first letter of their last name. If families are participating in a car pool, determine one location for the group of students to be picked up from consistently and communicate the pick-up location with all classroom teachers of the carpool members.

The following locations have been designated for pick-up: Garden Drive, Diamond Valley Drive East, and Logistics Drive. Parents must provide written permission for students to be dismissed as walkers. A walker is a student who will walk or ride their bike home from school. Students who are picked up by a child care facility will be released to the child care van parked on Academy Court.

Garden Drive: Families with Last Names Beginning with A-G. (Red Route)

To enter the loading zone, turn right on Garden Drive and pull forward into the loading zone along the south curb. Students should enter the car on the south side of the sidewalk. Once families have picked up, families should continue east around the cul-de-sac and exit by traveling west down Garden Drive.

  • Be patient and respectful to staff and other parents.

  • Drive slowly and cautiously.

  • Pull all the way forward before letting your student get in or out of your vehicle.

  • Do not allow children to walk through the parking lot by themselves or be unattended in or near the parking lot.

  • Do not talk or text on your cell phone.

  • Model appropriate behavior by utilizing the crosswalk.

  • Follow traffic patterns; no U-turns.

  • Remember that safety comes first and foremost.

Inclement Weather and Late Start

For school closure we will follow the Weld Re-4 school closure recommendation. If Weld Re-4 is closed, our school will also be closed. Closure information will be posted on our website, communicated through email and shared with local news and radio stations.

In the event that we designate a 2-hour late start, students should NOT be brought to school before the start times listed below. Supervision by staff will begin at 9:45 a.m.

  • 9:45 a.m. : Drop-off begins

  • 10:00 a.m.: First bell

  • 10:10 a.m. : Tardy bell

The weather and temperature are monitored throughout the school day to determine if extreme weather conditions are forecasted. The weather in Colorado changes frequently, so It is important that students are sent to school with appropriate clothing for cold weather conditions.

  • Before School: When the temperature or wind chill is below 17 degrees and/or there is heavy precipitation, students will be dropped off in the morning in their usual location and come into the gym to wait for their teachers.

  • Lunch: When the temperature or wind chill is below 17 degrees and/or there is heavy precipitation, students will have indoor lunch recess.

  • After School: Administration will monitor weather alerts and updates for severe weather. Parents will be notified through email initiating one of the two inclement weather dismissal plans below based on forecasted weather:

Inclement Weather Dismissal: INSIDE Pick-up

In the event that severe weather conditions occur at dismissal time that would impact the safety of students and staff (i.e. lightning, hail, tornado warning), we will initiate the INSIDE pick-up inclement weather dismissal plan. Parents should park their car and enter the building through one of our main entrances: Front west door, main office door, front east door or the back door off of Garden Drive. Students will be waiting in their homeroom classroom. Students with siblings will wait in the classroom of the youngest sibling. Parents should go to the classroom of their youngest student for check-out. Teachers will provide a check-out slip to the parent. Upon leaving the building, the parent must give the check-out slip to a staff member stationed at one of the main doors. If our location is under a Tornado Warning, all students, staff and parents will remain in the building until the warning is lifted.

Inclement Weather Dismissal: OUTSIDE Pick-up

In the event that severe weather conditions occur at dismissal time that would make it difficult for students to wait at their regular pick-up location (i.e. heavy rain, blizzard conditions), we will initiate the OUTSIDE pick-up inclement weather dismissal plan.

Students will be dismissed based on their normal pick-up location for dismissal from the building:

  • Back Pick-Up: Students who are normally picked up on Garden Drive will still be picked up on Garden Drive through the back doors.

  • Front Pick-Up: Students who are normally picked up on Logistics and Diamond Valley and Child Care Vans will be picked up on Academy Court from the front of the building.

  • Purple Cone: Students who are assigned to the Purple Cone for pick-up will come into the office and parents will be required to check them out at the front desk. If you are picking your student up from the office, park in a parking lot and walk into the office to pick them up.

  • Walkers: Students who are walkers will not be released to walk in inclement weather due to safety concerns.

    • Walkers will go with the grade level teacher whose group is exiting out of their normal walking direction (front or back).

    • If parents intend for students to walk home in the inclement weather, then the parent must call the front office to give their permission. The front office will contact the teacher.

Safety Between Elementary and Middle/High School Buildings

Out of concern for the safety of our walking students after school, we are encouraging children who walk from the elementary to the middle school/high school building to walk using the route below.  This route has sidewalks the entire way and a crossing guard at the corner of Garden Drive and Automation Drive.  We would appreciate the support of parents to talk to their walkers about this route.

Students should exit the north side of the building onto Garden Drive. Follow the sidewalk west to Automation Drive and cross Automation Drive with the crossing guard. Turn left and walk on the west sidewalk of Automation Drive south to Firebird Way.

Many students are currently walking along Logistics Drive where there are limited sidewalks, heavy traffic, construction and no crossing guard.

Carpooling Program

Join our Schoolpool program to connect with other families to drive, walk, or bike to school together. We are pleased to partner with Schoolpool, a program to help parents get their students to/from school. It is free and there is no obligation to participate. Schoolpool is a service of Way to Go, a federally funded program of the Denver Regional Council of Governments (DRCOG).

How does Schoolpool work?

  1. Create an account and register your household address or intersection. To maintain the highest level of privacy and security, this link is the only way for Windsor Charter Academy participants to register.: https://mywaytogo.org/s/schoolpool-windsor-fhe18

  2. Add comments to indicate special requests or preferences, such as “can provide morning rides in exchange for afternoon rides,” “student is in after-school actives,” or “looking for a walk buddy in the mornings.”

  3. Find and contact interested Windsor Charter Academy families in your neighborhood or along your drive to/from school.

  4. Windsor Charter Academy has partnered with Way to Go to offer this program to our parents as a free service with the goal of reducing traffic congestion and minimizing the stress of getting children to and from school. Rest assured, your information will only be shared with participating Windsor Charter Academy families. No one else will ever see your information unless you elect to share your information with families at other schools.

The Schoolpool secure mapping service can be used for trip planning, or emergency trips and is a great resource to meet nearby families for other reasons such as play-dates and baby sitters. The more families that register, the more likely you are to find good matches. Contact Way to Go at 303-458-7665 or waytogo@drcog.org for assistance.

Information is provided for your use only. Windsor Charter Academy and Way to Go do not run background checks, confirm valid driver’s licenses, or assess insurance coverage on participants. Potential users are advised to screen participants to their personal satisfaction and check their own insurance coverage for carpooling to ensure that they are covered under these voluntary arrangements. No drivers, vehicles or insurance are provided.
